Finance Assistant

IPA is an international non-profit research organization. Based in New Haven, CT, with offices in Washington, D.C. and worldwide, IPA works with development partners and academic researchers to create and evaluate approaches to solving development problems, to communicate “what works” in development and to scale up successful projects in a variety of fields, including health, education, microfinance, governance and agriculture.
Position Summary:
Innovations for Poverty Action (IPA) seeks a qualified Finance Assistant to join the team of the IPA Zambia Office. The Finance Assistant is responsible for the date to day data finance and accounting functions and should have an aptitude and interest in picking procurement activities. The Finance Assistant will contributes to the accomplishment of good Financial and Accounting practices and objectives that will provide a high performance culture that emphasizes productivity standards and goal attainment. The Finance Assistant will report to IPA Zambia’s Finance Manager and work in close coordination with the office staff.
Responsibilities:
Accounting
- Raising of payment vouchers and entering them in the check resisters
- Having payments authorized by appropriate staff.
- Ensuring payments have appropriate supporting documentation.
- Recording; payments, petty cash, expense reports, receipts into sage fund accounting
- Making NAPSA and ZRA ( Pensions & Tax ) submissions
- Maintaining proper accounting records
Financial Management
- Disbursements of cash (petty cash & expense advances)
- Cash reimbursements
- Ensuring disbursements are authorized and have appropriate supporting documentation.
- Ensuring that expense retirements are made within acceptable time limits
- Ensuring that advance requests are monitored against budgets and authorized by the CD.
- Review expense advance retirements to ensure that they are complete and accurate.
- Drawing cash and making deposits into the organizations bank account
- Submitting all other bank correspondence eg. Drafts, transfer requests etc
- Writing receipts for cash received and ensuring that this cash is deposited promptly
- Writing bank instructions whenever appropriate.
- process accounts payables and receivables ensuring timeliness and accuracy of information
- Assist with financial reports as required
Procurement
- Ensure that all procurements being made in line with the procurement and finance manual requirements.
- Ensure that all relevant documents required to support the payment are attached and authorized.
- Ensure that all the received and dispatched goods have relevant supporting documentation.
Office administration
- Manage vender relationships and to support the management team with Prepare and send outgoing faxes, mail, and courier parcels.
- Purchase, receive and store the office supplies ensuring that basic supplies are always available
Data Entry
- Enter accounting data into the sage accounting system.
Qualifications:
The incumbent must have proficient knowledge, skills and attitudes in the following areas:
- ZICA Licentiate, NATech , FIA or equivalent.
- At least 1-3 years of previous experience in working in a busy accounting department.
- Knowledge of procurement processes and procedures
- Ability to maintain a high level of accuracy in preparing and entering information.
- Effective written, verbal and listening communications skills.
- Attention to detail and high level of accuracy
- Good planning and organizational skills.
- Well-developed interpersonal and communication skills
- Professional appearance and manner
- Computer literacy, specifically MS Word for Windows
- Ability to manage staff (supervisory experience)
