Program Assistant

Winrock International is recruiting for the position of Program Assistant for a program to combat child labor in tobacco-growing communities through education, awareness, and economic empowerment. The program is based in Kaoma, Zambia and is funded by Japan Tobacco International. Verbal and written fluency in English is required.
Position Summary: The Program Assistant (PA) will contribute towards the implementation, monitoring, and evaluation of program activities at all levels and will assist with administrative and financial duties as necessary. Programmatic duties will include, but are not limited to, providing support to the School Outreach Coordinator, Agribusiness Specialist, and the Monitoring & Evaluation (M&E) Coordinator on awareness raising, the training of key program participants and community leaders, data entry, and record keeping. The PA will report to the Program Director.
Responsibilities:
  • Maintain updated and accurate program filing system, especially M&E data and other reports. Assist with maintaining F&A files as needed;
  • Respond promptly to incoming program emails, mail, and telephone calls and ensure enquiries are addressed in a timely manner in consultation with the relevant Winrock staff;
  • Collect and record information from the scholarship kit, afterschool program, Model Farm School, and VSL activities for accurate and timely entry into the program database with supervision of M&E Coordinator;
  • Support technical program staff in organizing meetings and trainings, including logistics and liaising with F&A staff to ensure timely payments;
  • Liaise with program staff on logistical and financial preparations for community-based meetings and trainings and help coordinate processing of payments with F&A staff;
  • Support the preparation of project briefing papers and the development of training materials, especially on M&E;
  • Ensure project has organized files of program photographs with all relevant associated information identified;
  • Take notes in staff meetings and team briefings and circulate minutes;
  • Take notes at workshops and trainings;
  • Assist F&A staff as needed in procurement of goods of services. This may include requisition and collection of quotes, processing of purchase orders and contracts, collection of goods from vendors, etc.;
  • Assist F&A staff as needed in maintaining project inventory report;
  • Assist F&A staff as needed in stock management;
  • Assist F&A staff as needed in managing and accounting for office petty cash;
  • Provide cumulative weekly plans and reports on duties in coordination with program staff;
  • Complete other tasks as assigned by Winrock.
Qualifications and Experience:
  • Degree in social sciences, development studies, or related field with a minimum of 2 years’ experience supporting projects administratively and technically and working collaboratively with partners, preferably non-governmental organizations and communities; OR
  • Diploma in social sciences, development studies, or related field with minimum 4 years’ experience of project supporting projects administratively and technically and working collaboratively with partners, preferably non-governmental organizations and communities;
  • Excellent communication skills, including fluent spoken and written English;
  • Excellent working knowledge of office software packages including Microsoft Outlook, Excel, Word, and PowerPoint.
  • Able to work as part of a team and be self-sufficient in organizing own work;
  • Able to work with attention to detail and to meet deadlines;
  • Knowledge of/experience with child labor or child rights, economic empowerment for women and youth;
  • Able to travel to rural project sites and interface successfully with community members;
  • Strong report-writing skills.
