Background
Under the guidance and supervision of the Global Fund PSM team leader, the Administrative Assistant provides support to office operations performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Administrative Assistant promotes a client, quality and results-oriented approach.
The Administrative Assistant works in close collaboration with the Operations, Programme and Project staff in the country office and the GF partnership team and Programme Management Unit in different countries where needed to exchange information and ensure consistent service delivery.
Duties and Responsibilities
Summary of Key Functions:
  • Implementation of operational strategies;
  • Support to effective and efficient functioning of the PSM team and team leader;
  • Support to administrative and logistical services;
  • Support to PSM activities in Zambia and other countries where UNDP manages or supports GF related programs;
  • Support to knowledge building and knowledge sharing.
Required Skills and Experience
Education:
  • A Secondary Education (full Grade 12 Certificate) is required;
  • Certification in Public or Business Administration and procurement is desirable.
Experience:
  • Five years of relevant experience in administration or programme support service;
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.);
  • Experience in handling of web-based management systems;
  • Experience in supply chain management and procurement is a plus.
Language:
Fluency in English, which is the UN and national language of the duty station.
