Plan’s is looking for innovative, motivated self starter individuals to fill the following vacancy:
1. Grants Monitoring Coordinator (Lusaka)
The Grants Monitoring Coordinator reports to the Business Development Manager and coordinates Plan Zambia’s fund management to ensure efficiency and effectiveness in meeting compliance requirements of the organisation and donors.
Key areas of responsibility include:
- Manage Fund Start-ups
- Set up new funds in Plan’s finance and filing system.
- Review partner sub-grant agreements & service contracts for donor compliance requirements
- Set up a funds compliance monitoring plan
- Fund Management and Monitoring
- Compliance monitoring
- Coordinate and review donor reporting
- Support preparation and submission of annual grant budgets and forecasts
- Monitor sub-grantees’ fund management
- Complete donor contract amendments
- Keep updated grant records and files
- Support Fund Close-out
- Coordinate fund management closure activities
- Follow-up final donor reporting
- Coordinate after action reviews
- Capacity Building in Fund Management
- Support the strengthening of staff & partner capacity
- Train all new users of Plan’s financial system in grants management roles
- Regularly monitor and review capacity development actions
- Contribute to Fund Acquisition
- Support relationship-building activities
- Support the development of high quality proposals
Qualification & Experience:
- University Degree in Development Studies
- 2-4 years practical experience in grant management, marketing and public relation
- Strong understanding of programmes and development focused on children and communities
- Strong experience of managing funding from key multilateral and bilateral donors (UN Agencies, Global Fund, EU, USAID, DFID)
- Expertise in Microsoft packages with excellent written & oral communication, editing and formatting skills
- Demonstrated record of accomplishment of writing proposals and grants reporting
- Excellent time management, administrative and organisational skills
- Enthusiastic self-starter
