Office Manager
Background
The Federal Institute for Geosciences and Natural Resources (BGR) is the central geoscientific authority of Germany. As part of the Zambian—German Water Programme in Zambia, BGR cooperates with the Ministry of Mines, Energy and Water Development (MMEWD) through the joint project, Groundwater Resources Management Support Programme (GReSP) which strives towards more sustainable management of Zambia’s groundwater.
Job Profile:
The Office Manager reports to senior project staff but is expected to support the smooth implementation of the project by providing administrative and logistical support to all fellow BGR/GReSP staff.
Main Responsibilities:
· Managing and tracking in-coming communication—written (incl. electronic and by phone
· Financial transactions and procurement (managing cash and tax compliance)
· Logistics(e.g. workshops, travel arrangements)
· Management of project calendar and appointments
· Receiving and attending to visitors from within Zambia and abroad
· Maintaining records and filing (e.g. inventory, business contacts, equipment tracking)
· Managing relationships with and supervision of vendors/service providers
· Helping maintain good relationships with partners
· Regularly reviewing and implementing the office health and safety policy
Skills and Experience:
· Minimum Diploma in Administration or a related field
· 2-3 years work experience with verifiable references (with contact details) less than 5 years old
· High proficiency in MS Office applications (this will be tested)
· Excellent written and oral communication skills in English
· Fluency in a local language is an advantage

· Willing to take on new tasks and responsibilities as they arise
· Zambian Driver’s License with a clean, accident-free driving record is a plus
Start Date: ASAP
Duration: until 31st December 2015 with the possibility of an extension
