[Position details]
1. Who we are looking for:
One Programme Officer for the Intergovernmental Science-Policy Platform on Biodiversity and Ecosystem Services Technical Support Unit (IPBES-TSU)
2.IPBES-TSU:
Based on a proposal from the Government of Japan, the Institute for Global Environmental Strategies (IGES) has been entrusted to host the Technical Support Unit (TSU) for the implementation of the Regional Assessment on Biodiversity and Ecosystem Services in the Asia-Pacific region under the Work Programme 2014-2018 of the Intergovernmental Science-Policy Platform for Biodiversity and Ecosystem Services (IPBES).
IGES will be providing technical support for the organisation of Authors Meetings as well as the preparation of the regional assessment report by selected experts in the region during the three year period from 2015 to 2018.
3. Content of work:
The successful candidate will provide logistical support for the functions of the IPBES-TSU in both Japanese and English, such as the organisation of international meetings, communications and contract preparations. Concrete tasks will involve:
•Cooperating with team members for the organisation of Authors Meetings and other related events both in Japan and abroad: budget preparation, communication and schedule adjustments with selected experts, official invitation procedures, communication with partner institutions, preparation of meeting documents, on-site management of events (including domestic and international travel)
•Follow-up to meetings and events: financial settlement of related costs, reimbursements to participants, arrangement of report translations as required, support to the development of meeting reports, proceedings, etc.
•Developing and maintaining a register of appropriate contacts (organisations and experts) that might be called upon to support the work of the selected experts
•Contract-development and related documentation: working with team members for proposal-writing and submission, regular reporting to funders, budget development and management, financial reporting, etc.
•Management of internal clearance processes for activities related to the IPBES-TSU
•Other duties (including simple secretariat work) required by the head of the IPBES-TSU, as The application documents are not returnable necessary.
4. Qualifications:
•At least a Bachelor's Degree with work experience at an international organization, private company, research institute.
•Excellent level of written and spoken English, ability to write documents and capacity to handle various administrative matters.
•Good command of basic PC operation (MS-Word, Excel, PowerPoint).
•This position requires advanced level Japanese language skills and domestic/overseas business trips.
•Working experience of organising domestic/international conferences would be a plus.
5.Contract term: fixed term contract Starting date – 30 June 2016
* Probation period 6 months The annual contract shall be extended up to 5 years.
6.Place of work: IGES Tokyo Office:
Shinbashi SY Bldg. 4F, 1-14-2, Nishi-shinbashi, Minato-ku Tokyo, 105-0003, Japan
7.Conditions:
- Type of Employment: Full-time
- Hours of work: 9:30-18:00
- Holidays: Saturdays and Sundays, the end and the beginning of the year (29, 30, 31 of December and 2, 3 of January) and national holidays.
- Annual paid leave of 20 days, 5 days of summer holidays, and other special leaves.
- Annual Salary
Salary is determined by IGES regulations, taking into consideration the employee's research career, achievements, occupational history, expertise and experience.
- Allowances (housing, local, overtime, dependent, end-of-term, performance, commuting, retirement) will be provided in accordance with the regulations of IGES.
- Insurance (health, employee pension, unemployment and workers’ accident compensation) will be partly covered by IGES.
