Office Manager & Logistician

Position: Office Manager and Logistician
Contract: Full Time – 1 year renewable
Location: Lusaka
Reporting To: Administration and Compliance Manager – Community-based Forest management Program (CFP)
Background:
BioCarbon Partners (BCP) is an African-registered and headquartered REDD+ development and management social enterprise. BCP is implementing the Community-based Forest Management Program (CFP) funded by USAID/Zambia. The CFP award represents a significant addition to the BCP portfolio and budget and enables BCP as a company to expand its business. The CFP expansion, and future growth of the company requires world-class administration and USAID Compliance management experience.
Scope of Work:
BCP seeks to recruit an Office Manager / Logistician to support the CFP. This position will support BCP’s mission which is to reduce poverty and enhance conservation through global forest carbon markets, and to support BCP’s vision, which is to implement the highest possible certified REDD+ projects in Africa through exceptional community benefits.

Background:
Principal Duties and Responsibilities:
This is a local office support position. The Office Manager / Logistician will work as part of the CFP office in Lusaka with responsibilities including:
Logistics
  • Coordinate the work of drivers with Head Driver in tasks and duties such as trips and vehicle service schedules.
  • Fleet management of all project vehicles.
  • Supervise the Head Driver and drivers, ensuring that all tasks are performed in a prioritized and timely manner,
  • Supporting field offices as needed
  • Assist the Head driver to provide feedback and evaluation of the drivers’ performances.
Office Management and other administrative support
  • Manage office equipment and infrastructure to support staff
  • Oversee the maintenance of office equipment.
  • Maintain an inventory system for office equipment and stores management,
  • Manage petty cash
  • Provide support to field offices on setting up effective systems, monitoring inventory systems, etc.
  • Assist the Procurement Officer with the purchase of office supplies.
  • Assist the Procurement Officer with getting quotations and supporting documents for project procurements.
  • Provide any other administrative or human resources tasks assigned by supervisor to ensure efficient and smooth support to the project office, in Lusaka
Job Qualifications
  • University degree in a relevant field
  • Minimum five years of experience in an administrative capacity required;
  • Demonstrated experience in making logistical arrangements;
  • Computer literacy required;
  • Fluency in English required;
  • Excellent organizational skills;
  • Ability to complete multiple tasks efficiently and with attention to detail; and
  • Proactive individual with a positive attitude willing to work in team settings.
Working Conditions/Duration of Assignment:
The Logistics and Administration Assistant will report to Administration and Compliance Manager and will work in close coordination with the Procurement Officer, and HR Officer. The anticipated duration of the assignment is for one year renewable.
Desired Skills and Experience
  • Understanding of USAID regulations concerning procurement, contracts, finance and administrative operations
  • Bachelor’s Degree in related field or equivalent standard of education.
  • Attention to detail.
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, etc.)
  • Good team-building and interpersonal skills
  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management, BCP’s board of directors, and staff
  • Passion for BCP’s mission
