Senior Administrative Officer
JOB TITLE: SENIOR ADMINISTRATIVE OFFICER (5 Positions)
Purpose: Responsible for Administrative and Human Resource functions in the Unit.
Responsibilities
i) Preparing, coordinating and participating in the preparation or review of work plans, policies, work manuals, procedures and related documentation.
ii) Participating in scheduling and servicing the Unit Board, Human Resource Committee and other Administrative Committees.
iii) Participating in servicing the Unit’s Processing of staff welfare matters such as leave requests, retirement, terminal benefits, and disciplinary cases for other staff.
iv) Liaising with Deputy Registrar/Assistant Registrar on matters of deployment and promotion of staff.
v) Reviewing the performance of subordinate staff in the unit and implementing suitable staff training and development programmes in line with the University’s staff training and development policy.
vi) Enforcing discipline among subordinate staff in accordance with the University’s code of Conduct.
vii) Orienting newly employed non academic staff and supervising the same to ensure adherence to approved set standards and procedures.
viii) Supervising the operations of the registry office in the unit.
ix) Participating in the registration and clearance of students and orientation and dissemination of information on student affairs.
x) Facilitating the production and issuance of student administrative forms and other documents.
xi) Issuing and monitoring proper utilisation of consumables in the unit.
xii) Participating in the preparation of the Unit’s budget and facilitating appropriation of the unit’s budget in accordance with planned activities for implementation.
xiii) Participating in coordinating all transport activities in the unit.
xiv) Maintaining vehicles in the unit in liaison with the Resident Engineers, Department.
xv) Processing insurance covers, road tax and vehicle fitness.
xvi) Participating in the preparation of quarterly and annual operational performance reports

Qualifications
i) Grade 12 School Certificate.
ii) Bachelor’s degree in Management, Public Administration, Adult Education, Human Resources Management or any other related field.
iii) At least three (3) years relevant work experience.
iv) Member of the Zambia Institute of Human Resource Management (ZIHRM).
v) Must be Computer literate.
