Administrative Assistant
Overview:
The Administrative Assistant will provide front desk services to the internal/ external customers and general administrative assistance to the Country Office staff.
Responsibilities
• Manage external and internal clients, via phone calls and walkins. ‘
• Maintain phone and fax logs and review telephone bills store ensure accuracy and billing of personal calls
• Handle all office correspondences: fax and package deliveries, Log-in all mails, and ensure prompt disbursed to the addresses.
• Ensure that all payments to vendors are promptly disbursed and receipt collected. This will include keeping a cheque register that records all the payee agent

• Provide all administrative and logistic support lo the office team such as making advance reservations for lodges and meetings
• Demonstrable experience in various office operations, including knowledge in basic procurement processes, experience in assisting in coordinating office transport.
• Assist in managing conference room availabity and handle its reservation for different unit meetings.
• Assist communications section in updating the Zambia section the myjhpiego.org with relevant and upto date events and news items
• Update the in-house Jhpiego staff telephone directory and of partner organizations, donors and others both or hard copy and on all related electronic office systems
• Manage the country office petty cash
Required qualifications
• Advanced Diploma/ Diploma in Business Management or related field.
• Minimum 3 years experience in a busy office
• Knowledge of US Government regulations preferred
• Customer relationship in management office administration
• Experience working in a diverse organization
• Demonstrated experience in writing letters, taking minutes at meetings, and also in working with excel.
• Analytical problem solving or decision making skill within the sphere of operations.
• Effective verbal and listening communications skills
• Computer skills including the ability to use spreadsheet, PowerPoint, and word processing programs at a highly proficient levels.
• Ability to keep information confidential.
• Demonstrate multi-tasking abilities.
