Stores Officer
Overview:
To Manage the Stores for the Jhpiego Zambia Office, ensure effective receiving, storage. Delivery of materials, keep records and documents of items and maintain the proper stock balance of goods in stock.
Required Responsibilities
• Receive goods/ supplies into Jhpiego Zambia storage and the distribution of the same.
• Lead in the management and development of the Stores business plan and implementation of stores policies and procedures.
• Receive incoming consignments (goods) and making sure that all delivery notes match invoices, and issuing of Goods Received Notes upon receipt of goods.
• Ensure that stock/supplies issued are property authorized and in accordance with agreed eves and ensuring disposal of understanding goods/ supplies.
• Responsible for the redundant stock in the stores areas in accordance with Jhpiego disposal policy. This requires getting appropriate disposal authorization from ZEMA(Zambia Environmental Management Authority). All correspondences should be filed property and sequentially
• Maintain appropriate tracking systems and accurate records management to ensure integrity of evidence. This includes an apt and orderly filing system.
• Deliver items to internal term and ensure efficient transfer of consumables and items to training sites or points of Service delivery.
• Work with Procurement, Transport & Logistics sector to ensure proper coordination and routing of deliveries.
• Ensure sale and appropriate storage of items and or general consumables, and also adhering to regulations and policies regarding Storage of certain medical items/supplies.
• Work with technical team to ensure that all items in stores are disbursed to training or Service
• Delivery Points (SDP) promptly

Required Qualifications
• Advanced Diploma in Purchasing and Supply (CIPS Level 6)/ Stores Management. Bachelor of Arts in Commerce or Business Administration will be an added advantage.
• Minimum of 3 years’ experience.
• Demonstrated experience working with a US Government funded NGO.
• An understanding of relevant legislation, Policies and procedures relating to storage of medical supplies
• Stores database management with proven records.
• Experience working in a cultural organization.
• Team building and time management skills.
• Analytical and problem solving and decision making skills.
• High attention to details.
• Effect verbal and listening communication skills
• Computer skills including the ability to use spreadsheet and word processing programs at a highly proficient level
• Minimum of 3 years’ experience.
