Job Title: Operations & Administration Manager
Job Summary
To strengthen and lead its Operations Unit, EGPAF is looking for an Operations & Administration Manager in Lusaka, Zambia to support the attainment of the Foundation’s overall goals by providing operational and administrative support. Reporting to the Country Director, this position oversees the operations department which is comprised of finance,
contracts and grants, human resources, budget and financial analysis and administration functions.

S/He will be a highly innovative and motivated organizational leader, dynamic, energetic highly organized and experienced individual who will be responsible for all operations’ staff and ensure developed systems are tracked and communicated in a consistent and effective manner.
Essential Duties and Responsibilities
- Provide strategic oversight and leadership to the country program Operations and Administration function, including overall vision and direction, and managing and contributing to the work of HR, Finance, IT, Procurement, Logistics, Administration, Contracts & Grants, and field offices.
- Duties will be wide ranging and extend from strategic business planning, performance management and development of key functions, leadership and mentoring of the operations leadership team, leading on budgets preparation, monitoring and reporting on expenditures and preparation and facilitating of audits and compliance reviews.
- Ensure that the country programme is supported by an efficient and effective operations platform, and that a strong culture of compliance is adopted in accordance with organizational/donor policies and procedures.
- Ensure that programme support functions are reviewed and improved where necessary, and that the operations function is adequately equipped to proactively support the growth and development of the country program.
- Influence innovative approaches to Operations management in order to achieve organizational effectiveness while remaining the primary point of contact for all operational matters.
- Design systems and tools that promote internal and external accountability in financial management, Grants, logistics, IT and human resources.
- Contributing to building and maintaining a successful, effective and mutually beneficial relationship with the donor. H/She should provide input to strategic decisions related to various programmatic and operational project issues
- Providing guidance, advice and recommendations to the relationship manager and technical leads on the program.
- Influence innovative approaches to operations management in order to achieve organizational effectiveness
- Review and where necessary support programs formulate partnership contracts, supplier’s contracts that align to policy and mitigate financial and operational risks
To motivate the operations team to work interactively with the program team to come up with and communicate innovative solutions and systems that allow the program to serve its overall goal
Support the Country Director to achieve the programme objectives and reduce risks associated with programme around legality and compliancy issues and alert the Country Director of any imminent risks

Required Qualifications
- Master’s Degree in Business Administration, Finance or any other relevant field.
- Minimum of 8 years senior leadership experience in a similar role, preferably with a multi-national non-profit organization.
- Proven track record in operations leadership.
Knowledge, Skills and Abilities
- Strong conceptual and analytical skills.
- Proven people management and communication skills.
- Well-developed interpersonal skills and experience in developing staff by assessing development needs, coaching and delivering training
- Proven strategic, planning and implementation ability.
- Expert knowledge of the USG funding environment and experience working with other donors.
- Well developed-networking and influencing skills to bring a diverse range of stakeholders on board to achieve common aims.
- IT Savvy, including accounting software
- Cross-cultural competence as demonstrated by confidence and ability to make relevant presentations to diverse audiences
