HUMAN RESOURCES OFFICER
Living Water International (LWI) is a global non-governmental organisation that exists to demonstrate the love of God by helping communities acquire desperately needed clean water, and experience “living water” (the gospel of Jesus Christ) which alone satisfies the deepest thirst. Living Water in Africa is providing safe drinking water, Christian Witness, Sanitation and Hygiene Education to communities across Africa.  A vacancy exists in the Zambia Office, based in Lusaka for the position of Human resources Officer:
Key Responsibilities
Human Resource
  • Coordinate all local recruitment requests, in consultation with line management prepare job descriptions, identify media/advertising sources, advertise vacancies in accordance with recruitment procedures, and  deal promptly with all recruitment-related correspondence;
  • Conduct interviews, complete reference checks and in consultation with the Country Director prepare contracts of employment and ensure all employees have completed statutory documentation;
  • Manage the induction/orientation process for new and replacement staff;
  • Advise the Country Director on all aspects of the Labour Act ensuring that LWI Zambia adheres to the correct legal context, local practice ensuring LWI policies are considered on matters of employment practice
  • Implement the human resources policies and ensure compliance by the project and office staff;
  • Manage all aspects of payroll administration from payroll preparation to employee payments;
  • Establish and maintain a secure employee database, including manual files, for human resources and the administration function in accordance with LWI standard procedures;
  • Update LWI Zambia organizational chart on a quarterly basis;
  • Facilitate immigration procedures for expatriate staff including work permits, visas, bonds and travel document acquisitions;
  • Monitor the appraisal/confirmation process and issue letters of confirmation in accordance with LWI policy;
  • Together with the Country Director handle complaints, disputes and grievances from staff gathering the information, documenting and filing appropriately and if necessary consulting with a labour lawyer;
  • Receive, record, and summarize leave (all types of leave) forms, and update regularly the leave schedule regularly; at the end of a contract, ensure that LWI meets its contractual obligations.
  • Promote and maintain good employee and labour relations with the staff through various activities and intervention;
  • Assist in promoting opportunities to encourage good practices among staff and in identifying issues/themes that would improve LWI administrative policies and procedures;
  • Contribute towards promoting and adhering to LWI purpose, basis of faith, core values and operating principles;
  • Ensure that  human resources and administrative systems for the program are implemented properly and that staff comply with the required policies and procedures;
Administration
  • Ensure efficient housekeeping by organizing, and recording, regular inspections to premises, both the office and accommodation;
  • Responsible for the safety of the premises and personnel and ensuring equipment is in good working order;
  • Provide support to the Country Director  and other staff to ensure that all activities are compliant with the standard operating procedures;
  • Process registration and insurance for vehicles and motor bikes and ensure renewal before expiry of insurance;
  • Prepare internal memos and ensure dissemination of internal communication to all Departments when relevant after securing approval from the Country Director;
  • Participate in strategic planning activities specifically related to human resources management.
  • Ensure staff discipline and compliance to LWI values, procedures and guidelines.
Qualifications, Skills and Experience
  • Degree in Human resources management, Business Administration or any  related field;
  • Certification and membership of Zambia Institute of Human Resource Management(ZIHRM) is MUST
  • At least 5 years experience in human resources management;
  • Knowledge of and working experience with HR  computerize  system;
  • Proven skills in managing several roles at the same time;
  • Highly proficient in English; Demonstrated ability to supervise direct staff and create team oriented environment, strong level of analytical skills and computer literacy.
  • Experience, ability and motivation to enforce prudent HR discipline.
  • Communicating orally/presentation skills in English Language
  • Experience  with I-NGO or a national civil society is a  definite advantage,
  • Ability to work with minimal supervision especially in HR actions and report preparation
  • MUST be a committed practicing Christian with personal relationship with Christ Jesus.
